HOURS FOR USE

 (a) 



The facilities are open for use from 9:00 a.m. to 10:00 p.m., 7 days a week (except statutory holidays).

(b)

 
The minimum hiring period is 2 hours and the charge will be charged on an hourly basis thereafter. The hirer who occupies or uses the facilities beyond the hiring period should pay overtime charge to the nearest hour. Overtime of 30 minutes or above in an incomplete hour will be regarded as one hour.
 (c) 



Overtime will not be allowed after 10:00 p.m. The main door of the Association headquarters building will be closed at 10:15 p.m.

REMARKS

  (a) 



The charge of the equipment listed at (2) above are applicable to all hirers for all hours. There is no charge differentiation on hiring of equipment.
  (b)



Only those equipment not listed above are allowed to be brought in by the hirer in most circumstance.
  (c) 



Fee charging equipment should be hired together with the venue(s). The hiring period of both the venue(s) and the equipment(s) should be identical.
  (d)



A whiteboard, a table and chairs are provided  the lecture hall and all function rooms.
  (e) 



A wall mirror and a handrail are installed in Room 501 for dance classes.
  (f) 



The lobbies outside the Lecture Hall, Room 503, 607 and 704 may be used for reception service subject to the prior approval of the Association.
  (g) 



Built-in public address systems are installed in the auditorium, lecture hall, Rooms 501, 607 and 704 whereas wireless receiver amplifier will be provided for other function rooms upon request.
  (h) 



All brought in equipment(s) including its/their specification and power loading shall be described in writing. The said installation is subject to technical assessment by the Association. Electricity surcharge of $50 per hour will be applied for the entire hiring period if the aggregate power loading of the above-mentioned equipments exceeds 1500W (single phase).

HIRING PROCEDURES FOR LOCKER SERVICES

(a)

Locker service is open to eligible facilities hirers only.

 (b) 

There is no charge differentiation for all eligible facilities hirers.

(c)   Application form for locker services is available at the enquiry counter on the ground floor of the Association headquarters building. The hirer may also contact the Administration Department of the Association at 2823 8623 for the booking form.

(d)   The hiring period of the locker services may start from 2 weeks before and up to 2 weeks after the exact date or period of the paid venue booking. Application for extension of hiring of the locker should be made in writing.

(e)  The hirer should inform the Association in writing the contents intended to be stored in the locker. The list of items to be stored should be vetted and approved by the Association.

 (f)

Locker key will be issued only to hirers who are engaged in long term hiring agreement of 3 months or longer. The hirer should ensure safe custody of the locker key. A charge of $50 per key is applied in case of lost key. The hirer should return the key to the Association upon the expiry date of the hiring period.

 (g)



Short-term hirer can access the hired locker under the assistance of staff of the Association during the opening hour by presenting the copy of the booking form.

(h)

 
Payment of the charge of the locker for the entire hiring period should be made as soon as the booking is confirmed. No refund will be made to any cancellation of bookings.

 (i)



The Association reserves the rights to terminate any locker services at any time in case of emergency or on any ground deemed necessary by giving 7-day prior notice. Remaining charge will be refunded to the hirer on pro-rata basis.

REGULATIONS FOR LOCKER SERVICES

 (a)



Sub-letting or transfer of the hire of the locker is NOT allowed. An accepted booking will be cancelled immediately if a breach of this regulation is discovered.

 (b) 



Locker is hired out to facilities hirer for their temporary storage. Storage of valuable items, money, perishable goods and any dangerous items including inflammable substances or illegal items are prohibited.

 (c)



The hirer is liable to the safe custody of the stored property. The Association has no obligation or responsibility for any damage, clearance and compensation to the hirer for the stored items in the locker under the occurrence of flood, fire or theft.

 (d)





The hirer should keep the locker clean, and maintain its good condition throughout the hiring period. No hook, tape or any fixture of any kind are allowed to be affixed to the interior of the locker. The hirer will be liable to compensate the Association for any damage, cleaning service or reinstatement to the locker.

(e) 



The hirer shall vacate the locker immediately at the expiration of the hiring period. Any item left behind in the locker will be deemed abandoned and disposed by the Association.

 (f)



Under special circumstances, the Association has the rights to open the locker for inspection without the prior consent of the hirer and/or in the absence of the hirer on site.

 (g)

The Association reserves the rights to terminate the locker services should the hirer contravene any one of the above terms.

PAYMENT OF CHARGE

The Association will inform the hirer of the charge when acknowledging receipt of the booking form. Payment should be made by cheque payable to "The Boys' and Girls' Clubs Association of Hong Kong" and should reach the Administration Department of the Association at least 2 weeks before the date of hiring. An official receipt will be issued accordingly. Under no circumstances will post-dated cheques be accepted.
